The hardest part of peak-hour support is not simply message volume. It is the risk of missing conversations, repeating replies, and losing follow-ups across several platforms. Inspired by EYY YouTube demos covering WhatsApp, Telegram, LINE, and multi-platform messaging, this article turns peak-hour support into a repeatable SOP.
Step 1: Triage before replying
Do not handle every message only by arrival time. Sort messages into four levels so urgent revenue or risk issues do not get buried.
- P1: payment, checkout errors, strong purchase intent.
- P2: complaints, refunds, logistics exceptions, disputes.
- P3: common questions, pricing, stock, usage guidance.
- P4: thanks, repeated confirmations, low-risk notes.
Step 2: Use the same status labels across channels
Use five simple states: pending, replied, follow-up needed, handed off, completed. Short labels make handoff easier.
Step 3: Let quick replies cover the top 80%
Templates should cover frequent topics: shipping time, price, campaign rules, refund process, required information, account login, and installation issues. Complex cases still need human judgment.
Step 4: One reply should drive one action
Long explanations are easy to miss during busy periods. Ask for one action at a time: order number, address confirmation, screenshot, link check, or plan selection.
Hello, I will check this quickly. Please send {required_info}; I will review it by {process} and reply with the next step within {response_time}.
Step 5: Handoff notes need only three things
Record the customer status, promises already made, and the next action. This prevents customers from explaining the same issue again.
Step 6: Review by adding better templates
After the rush, spend 15 minutes collecting repeated questions without templates, templates that are hard to search, and templates that did not help conversion.
